MCHS pool

11/9/24: Facilities and Purchasing immediately began working on the procurement process required for this project as discussed at the November 19, 2024 Board meeting. Purchasing reviewed the approved agenda item 21.09 and determined that this contract could be used for the electrical work required in Option #1. By using this contract, staff can cut 60 days off the procurement timeline; otherwise, staff would have to process an ITB ( Invitation to Bid) which includes generating the ITB document, advertising according to the required timeline, review and recommendation of the award of the ITB as well as School Board approval. Using the approved agenda item, the timeline for the procurement process has been reduced and the request for the proposal process is able to start in December. Staff will begin this process and request (3) proposals from the approved electrical contractors listed in the PBCS ITB #24-C-47M term contract.

01/14/25: A MCHS Pool Project update was provided at the 01/14/2025 School Board Workshop Meeting. At the November 19, 2024 School Board Meeting the School Board selected Option #1 to move forward with on the MCHS Pool Project.
Option #1 includes an electrical system review and proposed electrical items to be repaired and/ or replaced by an awarded Electrical Contractor for this work. The Electrical Contractors proposals are due to the School District on 01/24/2025. The proposals will be reviewed and an Electrical Contractor will be awarded the work. The remaining non-electrical items listed under Option #1 will be issued in a Request for Proposals to Contractors in February 2025. 02/07/25: The Purchase Order was released to the Electrical Contractor per the Proposal Request that includes the items listed in COA #6 (electrical work) under Option #1. Scheduling of the electrical work to be done by the Electrical Contractor at the MCHS Pool will begin.

02/12/25: MCHS POOL PROJECT PROPOSAL REQUEST for items included in COA #1 was completed and contacting the Contractors about the Proposal Request for items included in COA #1 is in process. 

02/18/25: The Electrical Contractor per the Purchase Order for the MCHS POOL PROJECT PROPOSAL REQUEST that includes the items listed in COA #6 (electrical work) under Option #1 will start this work on 02/18/2025.

03/07/25: Currently in process:

•Items under the Purchase Order for the COA#6a items are being ordered and will be installed when they are delivered.

•Site Visits are being scheduled with staff for the review of the COA #1 Proposal Request items.

03/21/25: The PROPOSAL REQUEST for items included in COA #1 with the MCHS Pool Project is scheduled to be received on 03/21/25 @ 3:00 pm.

03/24/25: Four Proposals were received for COA #1 MCHS Pool Project on 03/21/2025. A recommendation is planned to be presented to the Martin County School Board during the April 15th Board Meeting.

03/31/25: The April School Board Agenda item is being processed for the recommendation of the award for the Purchase Order for the non-electrical items under Option #1.
